Job description
The Recruitment Systems Analyst supports the technical, operational, and data-management functions that drive Idaho State University’s recruitment and admissions processes. Reporting to the Director of Data Analytics and Recruitment Strategy, this position manages day-to-day CRM operations (Slate CRM and Ellucian Recruit CRM during transition), ensures data accuracy across recruitment systems, executes workflow and communication logic, and provides reporting and troubleshooting support for staff. The Analyst plays a key role in maintaining clean, reliable data; supporting recruitment and communication strategies; and ensuring that Admissions & Recruitment staff are able to use CRM tools effectively and efficiently.

Key Responsibilities
Manage day-to-day CRM operations and workflow execution
- Support daily operations within the CRM, including workflow execution, data imports, event setup, query management, and user task queues
- Build, test, and maintain forms, automations, workflows, rules, and population logic as directed by the Director of Data Analytics and Recruitment Strategy
- Update and maintain communication flows, including emails, text messages, and trigger logic
- Troubleshoot CRM issues, respond to user requests, and ensure timely resolution of errors, duplicate records, and workflow interruptions
- Assist with the configuration, testing, and rollout of new CRM features and enhancements.
Ensure data integrity, accuracy, and compliance
- Perform routine data validation, de-duplication, quality checks, and record maintenance within CRM systems
- Support accurate data flow between Slate CRM, Banner, and other university systems
- Maintain documentation of data standards, workflow steps, and system rules to ensure consistency across users
- Ensure compliance with FERPA and university data security requirements for all recruitment-related data
Provide reporting, analytics support, and system documentation
- Create, update, and maintain operational reports and queries to support recruitment staff, marketing efforts, events, and admissions operations
- Assist in generating dashboards, tracking documents, and metric summaries used by leadership to evaluate funnel progress and recruitment outcomes
- Prepare documentation, job aids, and reference materials for CRM processes and updates
- Work with the Director to evaluate system performance, identify process improvements, and streamline workflows
Support user training and functional support across departments
- Serve as a primary point of contact for CRM users needing training, troubleshooting, or help understanding workflows
- Conduct user training sessions for new staff and ongoing refresher training as needed
- Provide one-on-one support to staff members experiencing technical issues or needing assistance with CRM tools
- Collaborate closely with recruitment, ambassadors, marketing, and admissions processing teams to ensure system needs are met
Support Slate implementation and ongoing system development
- Assist with integration testing, validation of new functionality, and documentation of new processes
- Work with IT and the Director to maintain and optimize system integrations and API processes
Requirements
- Bachelor’s degree in Informatics, Information Systems, Business, Data Analytics, or a related field
- Experience working with CRM systems, databases, or other information systems
- Strong analytical and problem-solving skills
- Demonstrated ability to manage technical tasks with accuracy and attention to detail
- Proficiency with Excel, data tools, and basic reporting functions
- Strong interpersonal and communication skills
- Ability to learn new systems quickly and provide user support
- Ability to manage multiple projects and meet deadlines in a fast-paced environment
Preferred Qualifications
- Experience with Slate CRM, Recruit CRM, Banner, Argos, Tableau or other higher-education systems
- Experience working in admissions, recruitment, or higher education operations
- Experience with SQL, reporting tools, or basic scripting

Benefits & conditions

Salary will be between $50,000 - $55,000 per year, commensurate with education and experience.
